Summary:
The Manufacturing & Supply Chain Assistant will be responsible for maintaining stock levels of materials and providing administration support for production within a growing company based in East Cork.
Responsibilities:
- Manage documentation for domestic and international deliveries.
- Communicate effectively with their clients and to relay messages between clients and personnel.
- Cover fellow employees when some of the teams are out of the office or absent.
- To communicate with production and store managers with regard to the stock of materials for the GBS and to order on their request.
- Liaise with Quality department and production with regard to new materials and products in terms of pricing and suppliers.
- Be clerical support for Production which may include: Typing, Printing, taking minutes, Receiving/Making Phone calls/ Emails Sourcing and sorting of C. Vs, Updating various forms and templates.
- Manages administrative and logistical processes for Contract re-dispensing.
- Greeting all visitors and make sure that all appropriate forms and or tasks are filled in and informing relevant personnel about visitors’ arrival.
- Answering calls and transferring to required person and relaying messages when necessary.
- Managing and tracking of purchase orders to suppliers from order to delivery.
- Liaising with Quality management on product quality, certification and validation issues.
- Liaising with finance and administration regards payment.
- Using Sage and Microsoft excel to store Manufacturing purchase order information in correct folders through to issuing and scanning all related documents.
- Communicating and organizing with all forwarders & Delivery drivers to arrange delivery of all Manufacturing goods.
- Checking if delivery docket matches purchase orders for manufacturing stock/supplies and contacting supplier if any discrepancies occur.
- Preparation and printing of labels for Manufacturing e.g. bottle bags.
- Preparation of certificates of conformance and internal delivery dockets for manufacturing.
- Generation purchase orders to suppliers for all manufacturing.
- Updating and monitoring all relevant manufacturing reports/spread sheets when applicable.
- File hardware inspection sheets into the correct folder and then update the hardware inspection report on excel.
- Print and replace attendance sheets by front door and both GBS floors.
- Liaising with Quality management on product quality, certification and validation issues.
- Managing and tracking of purchase orders to suppliers from order to delivery.
- Using Sage and Microsoft excel to store re-dispensing purchase order information into correct folders through to issuing and scanning all related documents.
- Communicating and organizing with all forwarders & Delivery drivers to arrange delivery of all re-dispensed goods.
- Checking if delivery docket matches purchase orders for dispensing material supplied by customer and contacting customer if any discrepancies occur.
- Preparation and printing of labels for Contract Re-Dispensing e.g. Waste Labels.
- Preparation of certificates of conformance and delivery dockets for repackage product.
- Generate purchase orders to suppliers for all manufacturing product needed.
- Updating and monitoring all relevant manufacturing reports/spread sheets when applicable e.g. planning and scheduling all re-dispensing projects.
- Manage stock levels of materials for contract re-dispensing.
Qualifications & Experience:
- Qualification in Supply Chain, Logistics or similar.
- 3 years’ experience working in a busy environment.
- Organized, good computer skills, good at multi-tasking, attention to detail, discrete, likes working in fast passed environment.
- Proficient in word and excel.
- Experience in Sage 50.
- Level 2/3/4 in Office Administration.
